This position works closely with the Duke Arts team, jointly reporting to the Production Manager (primary) and the Manager of Campus & Community Initiatives (secondary).



Manage the artist engagement aspects of a wide range of Duke Arts projects and events involving event production, artist residencies, hospitality, transport, and general office support.


Support and work with the Production Manager by independently managing assigned presentations of Duke Arts events in various venues on and off campus, in Durham and elsewhere by:

  • Providing comprehensive support on production logistics, such as assisting with airport pick-ups and hospitality and equipment needs; coordinating hotel and ground transport within specified budgets
  • Scheduling freelance and contracted staff, and working closely with that staff and ushers at each event
  • Liaising with the University Box Office to communicate front-of-house details and coordinating any relevant artist needs for each performance (including artist ticket needs, set-up sheets pre-announce, etc.)
  • Coordinating with front-of-house operations at events, and working with/supporting box office and artist merchandise sales (as necessary)
    Must be available to work during and be present at events during the academic year which are mostly held on nights and weekends 


  • Collaborate in executing artist residencies that include artist engagement with campus and community partners
  • Provide support to the Manager of Campus & Community Initiatives with residency logistics, including travel arrangements, campus room and venue reservations, and catering for a variety of engagements on and off campus
  • Coordinate ticket requests for campus and community partners in collaboration with the University Box Office
  • Maintain documentation of progress on assignments and projects through shared folders with residency-related materials
  • Attend a variety of residency events throughout the season, providing support on room setup/breakdown, tech/AV, and the procurement of materials for these events
  • Provide/coordinate ground transportation (and other artist services, as needed) for artists participating in residency events


  • Facilitate coordination between the production and engagement departments
  • Maintain master calendar for the office that provides a comprehensive picture of production and residency events
  • Supervise the Arts Administration Intern and the associated budget,




This work generally requires a knowledge of the principles and activities associated with arts events generally acquired with the acquisition of a bachelor’s degree in the arts or a related field.


This work ideally requires one year of coordination or management experience in the arts or a directly related field (such as a student tour manager or a stage operations coordinator) to become familiar with the administration of activities necessary to provide house, facilities and equipment management for a arts department. Or an equivalent combination of relevant education and/or experience.


Excellent time management, planning, and organizational skills
Well-developed interpersonal, communication, and writing skills
Proficient in Microsoft Office Suite, Google Docs, and WordPress
Knowledge of and interest in non-profit arts administration and arts production
Team oriented and energetic
